Beespoke Therapy respects your privacy and is committed to protecting your personal information. This policy explains what information is collected, why it is collected, how it is used and protected, and the choices you have about your information.

Beespoke Therapy is a sole proprietorship operated by Brittany Jacob, Registered Clinical Counsellor (RCC). Personal information is handled in accordance with British Columbia’s Personal Information Protection Act (PIPA) and other applicable privacy requirements.

Information I Collect

I collect only the personal information reasonably needed to provide counselling services and operate my practice. Depending on the services you use, this may include:

  • your name and contact information;

  • date of birth and emergency contact information;

  • information you provide about your health, history, concerns, and counselling goals;

  • clinical notes and other information related to your care;

  • appointment and scheduling information;

  • billing, payment, and insurance information;

  • communications between you and Beespoke Therapy; and

  • information provided through the Beespoke Therapy website or online forms.

You can choose what information you share, although some information may be needed for me to safely and effectively provide counselling services.

Why Your Information Is Collected

Your personal information may be collected and used to:

  • provide and document counselling services;

  • communicate with you about your care;

  • schedule and manage appointments;

  • process payments and provide receipts;

  • coordinate care when you have given consent;

  • maintain appropriate clinical and business records;

  • respond to questions or requests; and

  • meet legal, ethical, and professional responsibilities.

I will not use your personal information for an unrelated purpose without your consent unless permitted or required by law.

Consent & Your Choices

I obtain consent to collect, use, or share personal information when required. The type of consent may depend on the information involved and the reason it is being collected.

Consent may be provided in writing, verbally, electronically, or through your actions when the purpose for collecting the information is clear.

For example, when you provide information while booking an appointment or completing an intake form, that information is used for purposes related to providing and managing your counselling services.

You may ask questions about how your information is handled or withdraw your consent for certain uses or disclosures at any time, subject to legal, ethical, or contractual requirements. In some situations, withdrawing consent may affect my ability to provide a particular service.

How Your Information May Be Shared

Your personal information is kept confidential and is not shared without your consent unless sharing is permitted or required by law or professional standards.

Information may be shared:

  • with another professional or organization when you have provided consent;

  • when there are serious concerns about someone’s safety;

  • when there is suspected abuse or neglect of a child;

  • when information must be reported or disclosed under applicable law;

  • in response to a valid legal requirement; or

  • with service providers that help me operate my practice.

I may also consult with another qualified professional or clinical supervisor about my work. When I do, I take steps to protect your identity and privacy.

Whenever possible and appropriate, I will discuss a disclosure with you before information is shared.

Service Providers & Technology

Beespoke Therapy uses trusted service providers to support counselling, scheduling, communication, record keeping, and payment processing.

These may include:

Jane – Used for scheduling, intake and consent forms, clinical records, billing, secure communication, and video appointments. Jane Payments is powered by Stripe for secure payment processing.

Zoom and Doxy.me – May be used to provide online counselling sessions.

Proton Mail – Used for email communication.

Squarespace – Used to host and operate the Beespoke Therapy website.

These providers receive or process information only as needed to provide their services. I select services with privacy and security in mind and take reasonable steps to protect the personal information entrusted to my practice.

Some service providers may store or process information outside of Canada. When information is stored or processed in another country, it may be subject to the laws of that jurisdiction.

Protecting Your Information

I use reasonable physical, administrative, and technological safeguards to protect your personal information from unauthorized access, use, disclosure, loss, or theft.

These safeguards may include:

  • password-protected and secured devices;

  • secure clinical record systems;

  • encrypted or secure communication and video platforms;

  • access controls and account security measures; and

  • privacy-conscious practices for handling clinical and business information.

No electronic system can be guaranteed to be completely secure. I regularly review the technology and practices used by Beespoke Therapy and take reasonable steps to reduce privacy and security risks.

Clinical Records

I maintain clinical records as part of providing counselling services. These records may include information such as appointment history, consent forms, relevant communications, assessments, clinical notes, and other information related to your care.

Records are stored securely and access is limited to what is reasonably necessary for providing services and meeting professional, legal, and business requirements.

How Long Information Is Kept

Personal and clinical information is kept for the period required by applicable legal, ethical, and professional requirements.

When information is no longer required to be retained, it is securely destroyed, deleted, or anonymized as appropriate.

Some information may need to be retained even after counselling has ended or after you withdraw consent.

Accessing or Correcting Your Information

You may ask to access the personal information Beespoke Therapy holds about you. In some circumstances, access may be limited where permitted or required by law. If I am unable to provide access to certain information, I will explain the reason when appropriate.

Website Privacy & Cookies

When you visit the Beespoke Therapy website, certain technical information may be collected automatically by the website platform or related services. This may include information such as browser or device type, pages visited, approximate location, or how visitors arrive at the website.

The website may also use cookies or similar technologies that are necessary for the website to function and, where enabled, to understand general website traffic and improve the website experience.

Website analytics are intended to help understand how the website is being used rather than to create clinical profiles of visitors.

You can control or limit cookies through your browser settings. Disabling some cookies may affect how parts of the website function.

Information submitted through a contact or booking form is used to respond to your request or provide the service you have requested. Please avoid including highly sensitive or urgent clinical information in general website contact forms.

Email & Electronic Communication

Email and other forms of electronic communication carry some privacy risks. Although I take reasonable steps to protect your information, electronic communication cannot be guaranteed to be completely secure.

Email and text are best used for scheduling and brief communication rather than urgent or highly sensitive concerns.
